Connect our Cloudways-hosted WordPress sites to the portal. Our stack includes Elementor Pro and ACF; other plugins and content patterns vary by site.
Clients must edit permitted text, images, links, documents, posts and approved page sections through a controlled portal interface. Include new pages from approved templates, drafts, previews, approval requests, publishing results and version recovery. Clients can also ask staff to make changes.
Approval and publishing rights are separate. Authorized users can publish directly where enabled; other editors submit for approval. Protect layouts and global settings. Detect direct WordPress changes, prevent silent overwrites and publish the exact approved version when approval is required. Include necessary cache handling and verification of published changes.
We will select a representative site and arrange authorized staging access. The detailed inventory is not complete. Validate supported templates, widgets, ACF fields, content types and editing actions. Identify limitations and preserve existing site functionality.
The early demonstration must cover an Elementor page, a standard post and a new page from an approved template, including editing, preview, approval, publishing, conflict detection and recovery. Access to unrestricted WordPress administration does not satisfy this requirement.
Client Portal
Provide a branded home screen showing the account manager, active services, projects, deadlines, requests and outstanding approvals.
Clients can communicate with staff, submit requests, upload assets, review deliverables, download reports and track progress. Show only their authorized services and actions.
Core project and collaboration features must work without a connected website, Google account or GoHighLevel account.
Staff and Contractor Workspace
Manage clients, projects, milestones, tasks, tickets, recurring work, assignments, files and discussions. Staff can assign work to themselves, authorized colleagues or contractors and complete it themselves.
Include work queues, overdue items, workload, onboarding progress, pending approvals, failed notifications and connection status.
Contractors see only explicitly assigned work, necessary files and designated discussions. Assignment must not expose the entire client or project. Internal staff notes and administration remain private.
Onboarding, Intake and Offboarding
Include editable service-specific intake forms, asset collection, reusable project templates, recurring checklists, invitations, first-login guidance and reminders.
Clients can save and resume forms. Staff can request corrections and track completion. Include service changes, work transfer, permitted exports and access removal.
For connected GoHighLevel accounts, include opportunity-won onboarding with duplicate protection for clients, projects and invitations.
Files, Reports and Approvals
Staff can organize, update and share PDFs and supporting files against the correct client and project. Clients access shared reports; internal files remain private.
Research reports will be prepared externally and uploaded manually. Direct Esri and Leadinfo integrations are not required.
Approvals apply to a specific version. Include comments, requested changes, decision history, due dates, reminders and authorized reassignment. Revisions requiring approval return for review. Overdue approvals must never approve themselves automatically.
Routine support tickets should not require unnecessary client sign-off. Include a searchable client help area maintained by staff.
Social Management, Reporting and GoHighLevel
Clients and staff can create, review, approve and schedule content, with a calendar and publication results. Include supported analytics, downloadable reports and agreed reputation actions such as viewing and replying to reviews.
We already pay for GoHighLevel's full SaaS/white-label service and use its CRM, pipeline, automations and phone/messaging setup. Assess those existing capabilities first. Twilio operates through GoHighLevel; preserve existing numbers, routing and automations.
Facebook, LinkedIn and Google Business Profile are the initial channels to assess. Connected profiles, API permissions, formats, metrics and supported actions still need verification. Identify capabilities that are tested, unverified or blocked, plus any additional applications, provider approvals, subscriptions or usage charges.
Track publication separately for each destination, handle partial failures and prevent duplicate posts during retries. Review requests should use the approved existing GoHighLevel workflow without duplicate sending.
Social management/reporting and agreed GoHighLevel onboarding are required. The customer inbox is a separate option below.
Permissions, Branding and Security
Support Agency Admin, Staff, Contractor, Client Admin, Client Member and Client Viewer roles, with separate viewing, editing, approval and publishing rights.
Enforce agency, client, project and assignment boundaries through database RLS and server authorization across APIs, files, search, exports, notifications and background jobs.
Include privileged-user MFA, private file access and audit history. Recheck authorization when queued actions execute. Removing an assignment must revoke access granted by it, including further access through previously shared portal links.
Only one agency will be live initially. Support separate agencies in the architecture and use a second staging agency for isolation and revocation tests. Commercial reseller rollout and reseller-specific domains are outside this release.
Keep agency branding separate from client identity. Include branded invitations, welcome/recovery emails and responsive client/staff screens.

• A short note or quick screen share showing me where to trigger the same import again in future
Acceptance criteria: no errors in the OpenCart log, all SKUs present, stock figures match the source feed, and the store remains fully operational.
